How we designed four nights by the sea for a distributed company,
with people flying in from Europe and North America.

THE BRIEF
What we were asked,
and how we answered.
A fully remote company asked us to design its annual retreat: at least two full meeting days, one day out in nature together, meaningful session time and memorable activities that don’t feel like forced fun.
The brief.
One property near an airport, a room that seats everyone, breakout space, and real food.
The challenge.
About a third of the team could fly direct to Faro. Most of the rest came through Lisbon, two and a half to
three hours away.
Our answer.
A five-star coastal resort in
its own gardens, both
airports used on purpose,
and every evening transfer under 40 minutes.
DAY BY DAY
The program, day by day
Monday: arrive
Coaches by flight cluster from Faro, and from Lisbon for long-haul arrivals
A welcome drink on arrival, keys ready and luggage taken to rooms
Sunset drinks in the gardens, then a welcome dinner on the terrace
Tuesday: meetings
Plenary for the whole company, then breakouts in the same space
Free window in the late afternoon for discovery
Casual dinner at a beach club, tables on the sand, 15 minutes away
Wednesday: nature
Guided walk on the cliff path at two paces, with lunch outdoors
Sunset boats along the coast past the sea arches
Dinner on a deck under the cliffs, booked for the group
Thursday: sessions
Full session day
Spa, courts or the beach in the late afternoon
Send-off dinner at a working vineyard, 15 to 35 minutes away
Friday: close & fly
Closing session, 09:00 to 12:30

Five ideas behind the week
Use both airports on purpose. Coaches run by flight cluster from both, so nobody waits long and nobody gets lost.
A resort in its own gardens has one room that seats everyone and splits into breakouts, so sessions never need a second venue.
Work first, then the coast. Two full meeting days give the team real time together. The company day in between gets people outdoors on the cliffs and the water, at a pace everyone can manage.
Real dinners out, but close. Three nights out at a beach club, a deck under the cliffs and a working vineyard. Each is under 40 minutes away, so evenings feel like an outing, not a commute.
Spring, not summer. Early spring is calmer, better value and the coast is still green.

Friday is a half day. Paying for a full delegate day you won't use adds up fast at this size.
Every dinner menu contracted with a fish, a meat and a fully plant-based main.
A wet-weather alternative for the company day: blending your own wine and olive oil over a long lunch at an estate.

It's Portugal's southern coast: golden cliffs, sea caves, quiet coves and resorts set in their own gardens. With over 3,000 hours of sunshine a year, it's one of the sunniest places in Europe, so outdoor plans hold up even in spring. Faro airport is close to most resorts, and the region has decades of experience hosting large groups well

Both, on purpose. Faro has direct flights from much of Europe, and most resorts are under an hour away. Lisbon is the main door for North America and long-haul flights, two and a half to three hours by road. We group arrivals by flight and run a coach from each airport, with a host waiting at arrivals.

The Seven Hanging Valleys Trail: a 6 km cliff-top walk between Praia da Marinha and Vale Centeanes, past arches, sinkholes and the Benagil sea cave.
The Ria Formosa: a lagoon of barrier islands near Faro, voted one of Portugal's Seven Natural Wonders in 2010. We explore it by boat, with fresh clams and oysters along the way.
On the water: boats along the coast at sunset.
Inland: vineyards and olive estates, and old market towns in the hills.

July and August are the busiest and most expensive months. Spring and autumn are calmer, better value and better for working, and the cliff walks are cooler too. This design was for early spring.
