THE BRIEF

What we were asked and how we answered.

A Copenhagen-based team asked us for a three-day offsite in the north of Portugal. They wanted to leave energised, clear on what each person expects of the others, better connected across engineering and creative roles, and properly celebrated after a hard, successful stretch. A visit to their own facility in Braga had to sit inside the trip.

We gave them three versions: a Braga base, a riverfront base in Gaia, and the fullest option, Braga and then the Douro valley. This is that third version and what they chose to move forward with.

The brief.
Ten execs, Porto in and out,
a Braga facility visit, a light-filled meeting room, local menus, and light outdoor
time that leaves room to talk.

The challenge.
Fitting a working site visit, three days of sessions and a real change of scene into
one short week, without
losing a day to travel.

Our answer.
Treat the Braga visit as the opening moment of the retreat, then move once into the valley for the workshop days and a full day outdoors.

DAY BY DAY

The program, day by day

Monday: Braga

  • Morning tour of the team's own facility

  • Internal working session in the afternoon

  • Kickoff dinner in a heritage venue in the city

Tuesday: Valley

  • Transfer to the Douro for check in

  • Afternoon communication workshop in light-filled room with an expert facilitator

  • Dinner at the property

Wednesday: Work

  • Workshop continues through the morning, full day meetings.

  • Coffee, pastries, fruit and local bread in the room, refreshed at the break

  • Group dinner or a free evening

Thursday: Nature

  • Guided kayak, e-bikes or a traditional rabelo boat on the river

  • In harvest season, an optional evening treading grapes in a granite lagar

  • Celebration dinner at a Douro quinta

Five ideas behind the week

Easy arrival, simple welcome.
Arrive on Sunday evening, so the retreat starts fresh on Monday morning and no half day goes to travel.

The facility visit opens the retreat.
Braga mattered to the team, so the visit is the opening moment of the week, not a detour from it.

Mornings for thinking, afternoons for the culture.
Sessions run while the room has energy. The landscape, the food and the conversation carry the rest of the day.

Outdoors at a walking pace.
River, vineyard and hill country, with room to talk. More adventure or competition if the team wants it.

Close with a celebration.
A last night at a Douro quinta during the harvest, to mark a hard, successful stretch of milestones properly.

Friday: Home

  • Breakfast without a deadline.

  • Departures are timed to each flight, so nobody waits at the airport or rushes to catch a plane.

  • Transfer to Porto airport, 1 hour

  • Depart

What we handle

Venue and room block  ·  Program rhythm, sessions and free time  ·  Restaurants, private dinners and wine  ·  Airport meet and greet and every transfer  ·  Guides, experiences and Plan B for weather  ·  Run of show and a RuaMar lead on site  ·  One budget

WHAT MATTERED TO THE CLIENT

Tailored design choices

  • The facility visit was the anchor of the week, not a detour from it.

  • Mornings for thinking, afternoons for the country. Sessions ran while the room had energy; landscape, food and conversation carried paired with reset.

  • Every meeting room on the shortlist had daylight and a view. Workshops go differently in a room with a window.

  • The speaker, flights and the two celebration dinners were priced separately, so the client could flex the budget without redesigning the trip.

  • One relocation and one extra night was the trade-off for the fullest experience.
